Personal Assistant to CEO

The Personal Assistant (PA) is responsible for providing a comprehensive, confidential and professional support service to the CEO in all aspects concerned with the efficient and successful operation of the office. He/she performs his/her responsibilities in an organized and timely manner, consistent with the operating practices of the business, and the requirements of the role.

 

Main Job Duties

  1. To maintain and provide support service for the CEO’s daily schedule, including forward planning of his/her workload, diary management and coordinating and collating all relevant paperwork.
  2. To set appointments and meetings for the CEO as requested including regular one to one meetings with the CEO and her direct reports.
  3. To service meetings, including preparation of meeting papers, obtaining and preparing briefing materials and presentations, and taking minutes when requested/where necessary
  4. Respond and advise efficiently to all electronic or verbal enquiries for the CEO, using your own initiative
  5. To liaise effectively with internal divisions/departments and external organizations on behalf of the CEO.
  6. To advise the CEO of impending work deadlines for both internal and external commitments, e.g. reports, presentations, conferences, projects
  7. To ensure appropriate systems and processes are developed and maintained to support effective and efficient day to day running of the CEO’s office
  8. To ensure the smooth flow of information in and out of the CEO’s office, including actions and monitoring to achieve deadlines
  9. To provide a confidential and efficient filing system for the CEO and her office, in line with Company Data Protection Policy and ensuring compliance with other organisational policies
  10. To organize travel arrangements for the CEO and or associates
  11. To execute any other duties appropriate as directed by the CEO

Skills & Competency Requirements

  • Demonstrated experience with high efficiency and accuracy of typing and word processing
  • Experience with diary and travel management
  • Experience with complex telephone systems, conference calling facilities and internal telephone transfers
  • Effective communication skills, including the ability to effectively communicate requests and instructions to individuals and groups
  • Commitment to, and enthusiasm for, client service and delivery
  • Possess flexibility and adaptability to manage changing work requirements and varying volumes of work
  • Ability to work co-operatively and effectively within the team and the organisation
  • Ability to manage multiple tasks simultaneously, solve problems, manage and meet deadlines and maintain a high quality of work.
  • Possess a personal presentation that reflects a professional image and the values of the organisation
  • Excellent attention to detail, including proof reading skills, with the ability to maintain a high level of accuracy.
  • Demonstration of the ability to work under pressure and deadlines.
  • A flexible, pro-active approach to work including the ability to prioritise to achieve successful outcomes.
  • Ability to work on own initiative.
  • Ability to deal with sensitive information with discretion and to maintain confidentiality at all times.
  • Excellent IT skills including working knowledge of word processing, spread sheet and presentation software packages, preferably Microsoft Office Word, Excel and Power Point. Success in delivering continuous improvement in an environment of change

Educational and Professional Qualification

  • A degree in Social Science, Human Resource or related tertiary qualifications with 1 to 3 years’ experience in a similar role
  • Internet and PC proficiency with advanced MS Word, Excel, Power Point & Outlook skills
